You will support the Project and Construction Management team, while working on both Development and Refurbishment projects, shaping project delivery processes and ensuring exceptional execution.
Your tasks will cover both office and on-site duties
You will assist in organisational and administrative tasks
You will work on multiple international projects at once
Your tasks will include but not be limited to:
Participation in the due diligence and evaluation of the potential new properties
Collecting and analysing building’s existing documentation and preparing reports and summaries
Participation in lease contract and vendor contract negotiations and annex preparation
Making sure that all project activities are complying with the contractual requirements set out in lease contracts
Monitoring consultants and subcontractors contract execution and alignment with
Supporting completion of projects in the defined timeline. Monitoring and updating the timelines
Controlling budgets considering financial constraints. Monitoring and updating the budget, tracking the scope and quantities
Ensure timely submission of all project investment invoices, in line with the payment schedule and contractual agreements, submit for approval to the PM and then to finance department, follow up until completion
Ensure receipt and review of invoices from subcontractors, in line with their contractual requirements, submit for approval to the PM and then to finance department, follow up until completion
Participation in project meetings, preparing and distribution of meeting minutes
Construction site walkthroughs, checking the progress and quality, executing progress reports
Managing deliveries, installations and distribution of items on site
Participating in snagging, preparation and distribution of snagging reports, handover of external works to launch and operation teams
Task management. Creating and tracking internal team’s tasks
Effectively communicate between internal departments, in particular with: PM, legal, finance, accounting, as well as: real estate, design, procurement, launch, operations, distribution…
Effectively communicate between external departments: developers, planning teams, contractors, vendors
Support managing expectations of all parties involved in the process
Implementation and further development of already implemented tools, techniques and PM softwares
Studying/education in project management, construction management, real estate, business management, or other relevant field
Proficiency in German and English is a requirement (both written and spoken)
High computer literacy
